AI for a beauty salon or barbershop: what to hand to the booking system, what to the assistant, and where Meta's rules and Ukrainian law draw the line

A beauty salon is usually offered AI for Instagram posts. More money sits elsewhere: in empty slots nobody filled and in clients who came once and never returned. That is a job for the booking system rather than a chat assistant, and you can work out whether it pays off in advance.

Five tasks that really take time in a salon

This article is part of the series "AI for business by industry" and answers the same five questions: what, with what, how much, what not to do and where to start. It covers only tasks that exist in a beauty salon or barbershop and make no sense in a café or an online shop.

  1. Bookings and reminders. A client books a colouring for Thursday, forgets, and a three-hour slot stands empty. A reminder a day before and a few hours before is the simplest automation in a salon.
  2. Replies in Instagram Direct. "How much is a gel manicure?", "Anything free on Saturday?" — dozens of identical questions a day that someone has to answer while the stylist is working.
  3. Repeat visits. A haircut, brow shaping, a manicure each have their own cycle. A client who came monthly and then vanished for three months is lost revenue that shows up only in the booking history.
  4. Price list, service descriptions, posts. A new service, an English translation of the price list, a caption for a photo of the work.
  5. The client card. The colour formula, the technique, the stylist's notes. This is also where things end up that must not go to AI: allergies, skin condition, pregnancy.

What to use

TaskToolHow to check the result
Bookings and remindersAn online booking system with automatic remindersThe no-show share for the month before and after launch
Direct repliesA bot in the booking system or a separate service connected to Instagram; the assistant for reply templatesPrices and free slots in the reply match the price list and the booking calendar
Repeat visitsA booking-system report or a bookings export plus the assistant for analysisHow many clients on the "long time no see" list booked within a month
Price list, descriptions, postsA chat assistantPrices and durations in the text come from the current price list, not from the AI's answer
The client cardThe booking system only; the assistant without health dataWhether the card records the client's consent to such notes

How to choose between a button bot and an AI assistant for messages is covered in the article on chatbots for business.

What it costs

For a salon the main cost is the booking system, not the AI assistant. Prices of two systems with Ukrainian-language pricing pages on 14 October 2026, paid monthly:

System1–2 stylistsUp to 5 peopleLargerWorth knowing
AltegioUAH 600UAH 1,500 (5 staff)UAH 3,000 (10 staff)The price depends only on team size; paid for a year with bonus months it works out at UAH 343 a month for 1–2 people. Reminders go out as push notifications at no extra charge
EasyWeekBasic — free, 30 bookings; Solo — UAH 563.77Professional — UAH 1,127.09Unlimited — UAH 2,250.58Charged in US dollars at the rate on the payment date; SMS and WhatsApp fees not included. Basic has reminders in the app and in Telegram

A chat assistant is a separate and smaller cost. According to the ChatGPT pricing page on 14 October 2026, Plus costs $20 a month, about UAH 902 at the National Bank of Ukraine rate (UAH 45.0802 per dollar). Business is $25 per person paid monthly, from two people; by default its data is not used to train models. Prices of other assistants are in the series hub.

When a booking system pays off

It takes one division: the subscription cost divided by what the salon earns from one visit. If stylists work on commission, that is not the whole bill but the salon's share.

An illustrative example: an average bill of UAH 900, of which the salon keeps 40%, or UAH 360 per visit.

How many visits a month the system must bring back to pay for itself, illustrative
EasyWeek Solo, UAH 563.771.6 → 2
Altegio, 1–2 people, UAH 6001.7 → 2
EasyWeek Professional, UAH 1,127.093.1 → 4
Altegio, 5 people, UAH 1,5004.2 → 5

The salon's share per visit is UAH 360 (40% of a UAH 900 bill); both numbers are illustrative. Rounded up to a whole visit. Monthly prices checked on 14 October 2026.

So for a salon with five stylists it is enough for reminders to prevent four or five no-shows, or bring back four or five visits, a month. Whether that happens for you shows only in your own data: count no-shows for the month before launch and the first month after. If no-shows are already rare and clients book their next visit on the way out, the system pays off less well, and then what you should count is the receptionist's time.

A Direct bot: the 24-hour rule

Automatic replies on Instagram are limited not by AI but by Meta's rules for business accounts. According to the Instagram Messaging API documentation, an app may message a person only after that person has messaged the profile, and only within the standard window: for most actions that is 24 hours. If the person wrote for the first time after a click-to-Direct ad, the window can last up to 7 days. For a reply from a live agent who needs more time there is a separate 7-day window tagged Human Agent.

Can a bot answer this message?
  1. Did the client message the salon first, less than 24 hours ago?Otherwise an automatic reply is not allowed under Meta's rules, and a "mailing" across old conversations even less so. No → a person replies; through a third-party service, within 7 days
  2. A question about price, duration or free time? The bot takes the answer from the price list and booking calendar rather than inventing it. If the price list in the bot is not updated, it will quote the old price. Yes → bot, with a link to online booking
  3. A complaint, irritation after a treatment, an allergic reaction? This is not a question for a template: the reply may become part of a dispute, and the description of the reaction is health data. Yes → the manager or the stylist only
  4. A request for a discount, rescheduling with a deposit, a refund? The bot does not know the exceptions the salon makes for regulars. Yes → hand over to the receptionist

The client card and health data

A salon's client card often holds notes like "allergic to ammonia", "sensitive skin, redness after peeling", "pregnant, no colouring". That is data concerning health. Article 7 of the Law "On Personal Data Protection" prohibits processing it, except in the cases listed in its second part. For a salon's everyday work one of them fits: the client's unambiguous consent.

What follows in practice:

  • Keep such notes only in the booking system, and only if the client agreed to them being recorded. The simplest way is an item in the first-visit form.
  • Do not paste them into a chat assistant. If you need to analyse the booking history, export only the date, service, stylist and amount.
  • Names and phone numbers are personal data too, but bookings and reminders need them. Where to switch off model training on your chats is covered in the article on what data to give an AI assistant.

Repeat visits and consent to messages

A reminder about a booking the client has already made is a service message. A message saying "we haven't seen you for a while, book now" offers a service, so it is safer to treat it as commercial. For those, Article 10 of the Law "On Electronic Commerce" requires the recipient's consent; without consent a message may be sent only if the person can opt out of further ones. A discount in such a message must be clearly identified, and the conditions for getting it set out unambiguously.

A workable routine: a consent checkbox for messages in the same first-visit form, and a button or word to unsubscribe in every message. In Direct the 24-hour rule above also applies, so repeat-visit reminders go out by SMS, a messenger or a push notification from the booking system, not from Instagram.

What not to do

  • Do not give the assistant clients' health data, not even to "draft aftercare advice". The stylist writes the advice.
  • Do not publish generated photos of "work". Clients choose a stylist by the portfolio and compare the result with it. A generator is fine for a poster background, not for a manicure or a hairstyle.
  • Do not let the bot quote a price that is not on the price list. If the question is unusual, the bot offers to connect the receptionist.
  • Do not send "come back" messages to people who did not consent, or without a way to opt out.

First step for one week: a list of those who did not return

Of the five tasks, this one produces revenue you can see in the calendar a month later, and it requires buying nothing if you already have a booking history.

  1. Export a year of bookings: client code, date, service. No names, phone numbers or notes.
  2. Ask the assistant to work out each client's usual interval between visits — the median number of days between bookings — and how many days have passed since the last one.
  3. Pick out those for whom more than one and a half usual intervals have passed. One and a half is an illustrative threshold; for services with a fixed cycle, like brow shaping, you can use a lower one.
  4. Spot-check: take five codes from the list and check in the calendar that they really have not been in for a while. If even one is booked for next week, the assistant lost some of the bookings.
  5. Write to those who consented to messages, on behalf of the stylist they used to see, with a link to online booking.

A month later, count how many people on the list booked. Compare that with the payback threshold above: if more came back than needed to pay for the system, repeat-visit reminders are worth automating.

Our position

A beauty salon or barbershop with a few stylists needs a booking system with reminders first, and a chat assistant only after that. The first works on no-shows and repeat visits, which means money; the second works on texts. A Direct bot is useful for prices and free slots, while anything to do with a reaction to a treatment stays with a person.

This position does not hold for a solo stylist whose calendar is full weeks ahead and whose clients arrange their next visit themselves. Then no-shows and repeat visits are not a problem, a booking system pays off at best in time, and you can start with an assistant for the price list and posts.

Altegio, EasyWeek and ChatGPT prices were checked on 14 October 2026 on their pricing pages; messaging rules in the Instagram Messaging API documentation; legal provisions in the Law "On Personal Data Protection" (version of 14.06.2025) and the Law "On Electronic Commerce" (version of 01.01.2024); the exchange rate from the National Bank of Ukraine for 14 October 2026. The UAH 900 bill, the salon's 40% share and the one-and-a-half-interval threshold are illustrative; substitute your own.
